Payments & Cancellations

The following are TSPRA’s payment and cancellation policies:

Invoicing
TSPRA uses an online process to join or renew, order products and register for events. Members and nonmembers must create a profile with a username and password to use this system.


Payments
TSPRA accepts purchase orders and checks. At this time, we do not accept any credit or debit cards.


Late Fees
Payment for all conference/event registration invoices is due within 30 days after the start date for the event.

Payment for all other invoices (dues, products, etc.) is due within 30 days of the invoice date.

A 1.5% late fee will be added each month on all past due invoices.


Standard Cancellation Policy
• ALL cancellations must be made in writing by email to TSPRA – info@tspra.org

• No refunds shall be made for cancellations due to inclement weather.

• All cancellations must be received before the cancellation date stated in the registration materials. If no date is stated, it will be the policy of TSPRA to accept or reject cancellations on a case by case basis.


Cancellation Policy for the Annual Conference
• The dates to cancel a registration for the Annual Conference are stated on the registration page. All cancellations must be in writing by email sent to info@tspra.org before those dates. Please review below for complete cancellation policies.

CONFERENCE CANCELLATION AND OTHER POLICIES
The safety and well-being of our attendees, exhibitors, conference staff and community continue to be at the forefront of our minds and as the conference date approaches TSPRA will be carefully monitoring COVID-19 developments, including guidance from government and public health authorities. If the situation becomes unsafe for people to attend in person, the TSPRA Annual Conference, including pre-conference sessions, will become a virtual event. Golf will be cancelled.

Should the TSPRA conference go virtual, all registrations will be automatically transferred to the virtual event. Information about logging in and attending the virtual conference will be sent to attendees. Registration will be available for those interested in attending but who were not previously registered. Updates will be posted on the TSPRA website.

Please note that since virtual access will be available during and after the conference for 30 days, virtual registration fees are non-refundable.

There will be a live, virtual Star Award Celebration. Fees may be fully refunded or applied to other online learning events and TSPRA products. Send an email to janet@tspra.org stating how you wish those payments to be handled. Refund credits must be used by February 25, 2022.

Attendees are responsible for canceling their own hotel and travel reservations.

  • Embassy Suites, Denton – cancel 48 hours in advance of arrival
  • Marriott Hotel at Champions Circle – cancel 48 hours in advance of arrival
  • Other hotels – check their policies

If you are not able to attend the conference in person or virtually, TSPRA’s standard cancellation policy will apply. All cancellations must be in writing sent by email to info@tspra.org before the deadline to cancel. No hard-copy, phone or faxed cancellation/refund requests will be accepted.

Registrations canceled on or before 5 p.m. Friday, February 5, 2021 are refundable, subject to a $100 administrative fee per registration. Once the cancellation deadline has passed, no refunds are issued under any circumstances, including for illnesses, acts of God, such as natural disaster and weather, travel-related problems, acts of terrorism, reluctance to attend, or loss of employment.

Your registration may be transferred to another person in your organization but not to someone outside of your organization. Nonmember substitutes must pay the balance due for a nonmember registration if replacing a TSPRA member at the discounted member rate.

Cancellations received after the cancellation cutoff date of 5 p.m. Friday, February 5, 2021 or for nonattendance will not be refunded. No-shows will be billed in full for unpaid invoices.

Sharing of attendee registration badges/logins is not permitted. Badges are issued to, can be picked up by, and used only by the attendee named in the registration. Badges must be worn at all times during the conference.

Refunds will be processed and issued no sooner than sixty (60) days after the final day of the event. Refunds will be issued only for paid invoices, provided that the organization is in good financial standing with TSPRA with all previous invoices paid.

In the event TSPRA must cancel the conference due to unforeseen circumstances, both in person and virtual, TSPRA will refund all registration fees less a $100 administration fee. However, TSPRA does not assume responsibility for any additional costs, charges, or expenses which include charges made for travel and hotels.


Cancellation Policy for Other Workshops and Trainings
• Policies may differ from one workshop to another. But normally if your cancellation is received two weeks before the scheduled workshop or training event you will receive a refund less a service fee. After that, no cancellations will be accepted or credited.

• Substitutions may be made at any time, with written confirmation from the person registered.

• Nonmember substitutes must pay the balance of a nonmember registration if replacing a TSPRA member.

• No refunds shall be made for cancellations due to inclement weather.
