TSPRA Annual Conference

Your exhibit, advertisement and/or sponsorship contribution of $10,000, $5,000, $2,500, $1,000, $750 or $500 can support the Texas School Public Relations Association Annual Conference on February 22-25, 2021 at the Denton Embassy Suites. This event provides a unique opportunity for your company or organization to become better-known by statewide members of the public schools communication profession. The more than 800 conference participants include public information officers, community relations directors and coordinators, technology and electronic media specialists, as well as education foundation directors and board members from public school districts.

The 2020-2021 TSPRA Executive Committee and State Office continue to plan for an in-person #TSPRA21 Conference.  While virtual conference platforms are being researched and a contingency plan is in development, we are optimistic of gathering in Denton, Texas, in late February 2021 for #TuneInTSPRAwith expected safety protocols being implemented. Please continue to visit the TSPRA conference page for updates, COVID information, conference safety protocols, revised cancellation policies, conference updates and more.

COMMUNICATION ASSOCIATE:  $500 [$750 in-kind]  

  • TSPRA Coffee Provider/Sponsor (maximum five available each day) beginning at 8:00 a.m. and during “caffeinated connections” and designated vendor viewing [February 23, 2021 from 8:00-11:00 a.m. and Wednesday, February 24, 2019 from 8:15-10:30 a.m.]
  • Four gallons of coffee and supplies to be set up at vendor area beginning at 8:00 a.m. during designated day of conference.
  • Recognition as coffee sponsor on signage located at vendor table.
  • Recognition in conference programand on TSPRA website with link from logo.

  • Two full days of exhibit time and exclusive exhibit viewing during “caffeinated connections” each morning and during afternoon refreshment breaks each day.

  • Exhibit space location on a first-come, first-served basis upon receipt of $300 deposit and until space is sold.

Key Communicator Award Sponsor:
Amount: $3500

  • This is TSPRA’s highest honored award.  The recipient may be a legislator, educator, professional in another field or member of TSPRA.  The winner is announced in July of each year.
  • The Key Communicator is recognized during a general session at the annual TASA/TASB Fall Superintendent Conference where attendance is approximately 3000 yearly utilizing a virtual platform for delivery on October 2-3, 2020.Videotaped presentation will be created and will also appear on the TSPRA website for one year.
  • Organization’s name and logo is printed on the token, mentioned during the awards ceremony, and a representative from organization stands with the TSPRA president and executive director during the awards ceremony and presents the plaque to the Key Communicator.
  • Organization’s name and logo will be printed on all communications regarding the award.  (The press release announcing this award is sent to over 1000 districts, individuals, associations and organizations, websites, newspapers, radio, and television outlets).
  • Organization’s name and logo included in the virtual awards presentation at the TASA/TASB Convention and appears on the large screens at the annual TSPRA Conference.
  • Organization will assist in the introduction of the Key Communicator at the 2021 TSPRA Conference.
  • Organization is provided five minutes of podium time to mention organization and products during the TSPRA general session when the Key Communicator is recognized.
  • Organization’s representative is photographed with the award recipient and appears on the TSPRA website from October 2020-September 2021.
  • Organization has first right of refusal for the 2021-2022 sponsorship.

  • Sponsoring organization’s logo and name to appear top center of all TSPRA email blasts, resulting in a minimum of 40 blasts yearly.
  • Opportunity for sponsor to submit maximum of four articles for weekly e-newsletter (maximum of 300 words each).
  • Quarterly mentions in weekly e-newsletter recognizing email blast sponsor.
  • Maximum of six email blasts to membership showcasing products and services (with 48-hour notice to prepare blasts).
  • Organization has first right of refusal for 2021-2022 sponsorship.

TSPRA Conference Scholarship:
Amount:  $1500 (three scholarship sponsorships available)

  • Sponsoring organization’s logo and name to appear top center of all TSPRA communications regarding the scholarships.
  • Recipient must meet eligibility requirements determined by the 2020-2021 Scholarship Committeeand approved by the Executive Committee.
  • Scholarship opportunity is available to all TSPRA members meeting qualifications.
  • TSPRA will take responsibility for TSPRA Conference registration process along with hotel arrangements at conference hotel with upgraded amenities.
  • Recipient will be responsible for travel arrangements to include transportation, and meals at personal or district expense.
  • TSPRA agrees to provide reimbursement of travel expenses within ten days of receiving receipts not to exceed $500.
  • Recipient agrees to serve on 2021-2022 TSPRA Committee.
  • Signage will be provided at 2021 TSPRA Conference.
  • TSPRA Conference program will include recognition of scholarship sponsor and recipient.
  • Organization’s representative is photographed with the scholarship recipient and appears on the TSPRA website from February 2021-January 2022.

TSPRA First Year Communications Academy (FYCA) Sponsor                
Amount:  $1500                             

  • Sponsoring organization is invited to the FYCA luncheon and allowed 15 minutes of presentation time with the attendees (both rookie and veteran members who deliver the training)
  • Informal interaction with the FYCA can be as long as the representative wants to be in attendance.
  • Sponsor is allowed to share promotional items and offer promotional items.
  • Organization’s name is printed on FYCA agenda and thank you recognition appears in weekly newsletter in the weeks following the sponsored meeting.
  • Expected attendance: 40-50
  • Organization has first right of refusal for 2021-2022FYCA.

TSPRA Professional Award Sponsor:  Bright Idea, Professional Achievement, Rookie, Media, MVP, Partner in Public Ed
Amount:  $1000 per award (six award sponsorships available)

  • TSPRA recognizes members and the media/community annually with six awards:  Bright Idea Award, Rookie of the Year, Most Valuable TSPRA Member, Professional Achievement Award, Media Award andPartner in Public Education Award.
  • Organization’s name and logo appears on award plaques.
  • Organization’s name is referenced with the award in print and during awards ceremonies that take place during conference general sessions averaging 800 in attendance.
  • Organization’s representative is photographed with the awards recipients and appears on the TSPRA website from February 2021-January 2022.
  • Photograph of award recipient with organization’s representative appears alongside organization’s logo in TSPRA newsletter during spring 2021 acknowledging sponsorship.
  • Representative of the organization is present at the annual conference and assists with the naming of the recipients and presentation of awards. (Names of winners remain confidential and are surprised with the announcement at the conference).

TSPRA Executive Committee (board) Sponsor    October, February, June
Amount:  $1000                             

  • TSPRA EC meets three times yearly (Fall, February, June).
  • Sponsoring organization is invited to the board meeting and allowed 15 minutes of presentation time with the TSPRA Executive Committee (EC).
  • Informal interaction with the EC can be as long as the representative wants to be in attendance.
  • Meal sponsor is allowed to share promotional items and offer promotional items for area meetings.
  • Organization’s name is printed on EC agenda and thank you recognition appears in weekly e-newsletter with the board summary in the weeks following the sponsored meeting.
  • NOTE:  Area vice-presidents take advantage of this opportunity to share information with members within their respective areas.

TSPRA Online Learning Platform Sponsorships
Amount:       $500 for one session, $800 for two sessions, $1200 for three sessions, $1500 for four sessions
$1000 for 30-minute sponsored content, $1600 for 60-minute sponsored content

  • A series of 12-16 online learning and networking opportunities will be available to members each fall, spring and summer to include roundtables, lunch-and-learns, new member orientations, job-alikes and content specific sessions with sponsorship opportunities.
  • Sponsoring organization’s name and logo (where applicable) to appear on menu of listings and all TSPRA communications regarding the sponsored online session.
  • TSPRA online registration will include sponsoring organization’s logo.
  • Sponsor will be introduced by name, title, company and five minutes of online scheduled time will be allotted to representative to welcome, deliver message and mention products/services.
  • Organization may purchase bundled sessions at a reduced sponsorship rates with single commitment.

TSPRA Hosted Online Sponsor Content
Amount:       $1000 for 30-minute sponsored content,
                         $1600 for 60-minute sponsored content

  • TSPRA will host six sponsor sessions annually (two each fall, spring, summer) for sponsor opportunity to provide training, showcase product, conduct focus sessions, deliver infomercials.
  • Delivery platform may either be TSPRA Zoom or sponsor platform.
  • TSPRA to provide additional eBlast for marketing purposes (after initial $300 investment of eBlast)
  • Sponsoring organization’s name and logo (where applicable) to appear on menu of listings and all TSPRA communications regarding the sponsored online session.
  • TSPRA online registration will include sponsoring organization’s logo.
  • Entire online time dedicated to the sponsor.

Crystal Awards for Star Awards:
Amount:  $1000

  • Presented at the annual Star Awards Celebration, held in February during TSPRA’s annual conference, these awards provide recognition for the outstanding communications efforts of our members.
  • Ten Crystal Awards are awarded for multifaceted promotional programs or campaigns employing a variety of media and encompassing well-defined goals, strategies or activities. One award is given for each of the following 10 categories:  (1) Video Portfolio, (2) Photography Portfolio, (3) Bond Election, (4) Parent Involvement/Volunteer Program, (5) Staff/Student Recognition, (6) School/Community Partnership, (7) District/Association Special Event/Celebration (8) Foundation/Partnership Special Event, (9) Foundation Annual Campaign, (10) Marketing Portfolio.
  • Organization’s name appears on all ten-award plaques.
  • Organization’s name and logo are referenced with the awards in print and during awards ceremonies including press releases sent to local media outlets.
  • Organization’s name/logo appears with the award recipients’ photos that appear in TSPRA newsletters during spring 2021.

Platinum Award for Star Awards:
Amount:       $750

  • Presented at the annual Star Awards Celebration, held in February during TSPRA’s annual conference, this award provides recognition for the outstanding communications efforts of our members.
  • The Platinum Award is TSPRA’s highest award for excellence in a total public relations program.
  • Organization’s name appears on the iceberg plaque.
  • Organization’s name is referenced with the award in print and during awards ceremonies including press releases sent to local media outlets.
  • Organization’s name/logo appears with the award recipient’s photo that appears in TSPRA newsletters during spring 2020.
  • Organization has first right of refusal for the 2021-2022 sponsorship.

TSPRA eBlast promoting product/service:
Amount:       $300

  • Designated eBlast communication to 1100+ subscribers showcasing/promoting a vendor service/product/business.
  • Maximum number of 300 words; graphics can be included.
  • Organization’s name and logo appears in eBlast heading.
  • Notification three days in advance for preparation.
  • Copy submitted 48 hours in advance of arranged eBlast date.
  • Organization may invest in unlimited number of blasts throughout the year.
