INSTRUCTIONS

Submissions to present at the 2019 TSPRA Annual Conference are due by Thursday, Oct. 25.

We advise those filling out a proposal to create clear session titles and descriptions, consider timely issues facing conference attendees and use real-life examples or case-studies to help illustrate their topic.

If the session application is accepted, presenters are responsible for their own hotel, travel and conference registration fees.

Concurrent sessions will be equipped with Internet access, a projector, screen, and an extension cord; presenter must furnish any additional equipment needed, including their computer, speakers, handouts, connector cables, etc. as needed.

Roundtable presenters can display presentations at their table on their own computer, tablet or mobile device. 

The conference committee will make every effort to accommodate the presenters' time slot preference, but it cannot be guaranteed. All presenters who plan on attending conference sessions or events are required to register and pay for the conference.

Please read through the form below and gather all the necessary information before beginning. Once you start your submission, you will NOT be able to save and come back to it, or edit your information once it has been submitted.

NEW THIS YEAR
For the first time, TSPRA is asking presenters to prepare short, one-page-or-less tip sheets based on their presentations for the membership. 

Think of it not as a summary of your presentation, but as a teaser for it. It can come from the beginning, middle or end. Teach people one thing, a single trick or technique, one potential pitfall to watch out for, whatever works in the context of the presentation you're going to give. Long paragraphs or short bullet points or photo illustrations or whatever you want, so long as it fits on a page. 

We'll send these tip sheets out to members before and after conference, as a preview of something they might see or a recap of something from a session they might have missed.

We won't force you to turn these in with your presentation descriptions, though if you think seeing a sample of your work will help persuade the committee to slate you, then feel free to email Eric at the State Office (ebetts [at] tspra.org) with your sheets. If you'd rather wait to hear if you got slated, then more information will be included in the acceptance email.

Reserve your exhibit space now for the 2019 Texas School Public Relations Association (TSPRA) Annual Conference! The conference will be held February 18-21, 2019, (exhibit opportunities on February 19-20, 2019) at the Hyatt Regency Lost Pines Resort and Spa, located east of Austin on the lower banks of the Colorado River and about 15 miles from Austin Bergstrom Airport.

This conference attracts more than 700 professionals annually and allows exhibitors the opportunity to:

  • Network with school public relations/communications professionals, education foundation directors, electronic media production specialists, graphic designers, webmasters, translators and partnership coordinators from throughout the state
  • Expand market base and increase visibility for products and services
  • Build new customer relationships and renew existing ones

Attendees include trusted advisors of district senior staff; those who manage the fundraising and fund distribution for education foundations; creative designers and engineers who create print and produce electronic media for district instructional television, websites and stakeholder distribution; those whose positions are to market their school districts and manage stadium, arena and auditorium media and advertising and those who work closely to maintain community partnerships.

Forty-five (45) exhibitor spaces will be available for $600 on a first-come-first-served basis. Registration includes one conference registration/badge.  Additional registrations/badges are available for $100 per person. Exhibits will be located in the prefunction area surrounding the general session ballroom and within the main corridors for attendee traffic. You may pre-select your booth space by sending a $300 non-refundable deposit along with the completed application. The remaining balance of $300 will be due by Friday, February 1, 2019. An eight-foot (8) draped table and two chairs will be provided in each exhibit space. Basic electricity and WIFI access are available at no charge and hotel delivery of shipments and are provided at established rates.­

The exhibit area will be available for set-up from noon-6:00 p.m. on Monday, February 18, 2019.  The exhibit area will be open on:

  • Tuesday, February 19, 2019, from 8:00 a.m. – 4:00 p.m.
  • Wednesday, February 20, 2019 from 8:15 a.m.— 4:00 p.m.
  • Booth teardown will take place at 4:00 p.m. on Wednesday, February 20, 2019.

All conference exhibitors will receive one complimentary conference registration.  Additional badges are available for $100 each.  This allows you to attend sessions with conference attendees and entitles you to enjoy the Tuesday Mess Hall Luncheon, Roundtables and the President’s Luncheon along with all breaks, receptions and most events. Your company’s name and contact information will also be included in the conference program. For a minimal additional fee, advertising may be purchased for inclusion in the conference program.  See details on attached exhibitor application.

There will be an opportunity for six vendors to serve as “Coffee Sponsors’ each morning.  A $500 sponsorship will arrange for the delivery and set-up of four gallons of coffee and set ups to be served from your booth from 8:00-11:00 a.m.  This will attract attendees to your exhibit area for conversation, networking and product demonstrations and includes additional signage and name recognition on all printed materials!  This sponsorship will be available to only twelve vendors, first-come, first-served!

ROUNDTABLES:

The 2019 Conference Planning Committee will select 15 vendors to participate in the popular Roundtable Sharing and Discussion Event scheduled from 8:30-10:15 a.m. on Wednesday, February 20, 2019. To be eligible, your table topic, presenter(s) and a brief description must be submitted electronically by October 25, 2018. If interested, check the available box on the application and information will be emailed to you on September 10, 2018, allowing seven weeks to prepare for and submit your session. Notifications of acceptance will be emailed no later than December 18, 2018.

SIX designated vendor-viewing times are scheduled during the conference.

Tuesday, February 19, 2019:

  • 3:15-3:45 p.m.

Wednesday, February 20, 2019:

  • 8:15-9:00 a.m.
  • 10:15-10:45 a.m.

Here are a couple of things to know about the conference hotel:

  • The hotel is offering the TSPRA conference rate to members for additional days on either side of the conference, should you be interested in that opportunity. Be sure when you're making your reservation to select only the dates you want. 
  • Cut-off date is February 4, 2019, or until block is full.
  • The block room rate is $189 for a single or a double, $214 for a triple or $239 for a quad.
  • A discounted resort fee of $5 will assessed for all attendees which covers hotel amenities and self-parking for the duration of your stay (typically $12 per night). Believe us when we say that the parking alone makes this worth it.  
  • Complimentary in-room internet.
  • Check in time is 4 p.m. and check out time is 11 a.m.
  • A credit card guarantee of one night's room fee will be required at the time of reservation. 
  • Should you have difficulties making your reservation, we'd encourage you to contact the hotel first, since it is the one handling all the rooms and booking. If they can't fix it right away, email the TSPRA State Office with your issue and the hotel's response so that when we do talk to them to try to resolve it we have a digital paper trail to forward and reference, which we've found is a lot easier to get results with.

Lynne Wester - The Donor Relations Guru

lynne westerLynne Wester strongly believes that donor relations is the key to unlocking fundraising success and that organizations must be as dedicated to the donor experience, or DX, as they are to the ask itself. Sometimes referred to as the Olivia Pope of fundraising, Lynne helps organizations when they need it most -- when crisis or opportunity arrive. 

Lynne and her teammates at the Donor Relations Guru Group partner with nonprofits large and small on a variety of initiatives from developing sound strategy and vision to utilizing technology and creating meaningful donor engagement - all designed to positively affect the fundraising bottom line. Her guidance has led her clients to be recognized on the nation stage for fundraising innovation, creative communication, and groundbreaking donor relations work. 

The DRF website is a unique industry tool filled with resources, samples and thoughtl eadership on donor relations and fundraising. Lynne is regularly featured in publications such as the washington Post, Chronicle of Philanthropy, and Case Currents and has authored three books of her own on a myriad of industry topics. 

Lynne received her B.A. from the University of South Carolina, holds a Masters in Strategic Fundraising and Philanthropy from BayPath University, and proudly sports a DUCKtorate from the Disney Institute.
